Your first 10 minutes

Seven small steps. Afterwards you know the parts of Kendoshi you will use every day.

  1. Make a test project. Click “+ New project” in the sidebar and call it Testdrive.

  2. Type three tasks. Press Q, type one line, press Enter. Do it three times: Call the printer today 3pm #Testdrive · Draft the newsletter tomorrow p1 #Testdrive · Water the plants every monday #Testdrive. Before Enter, Kendoshi shows what it understood (section 3).

  3. Look at today. Open My Work → My Day. “Call the printer” is already there, in the Afternoon block, because it is due today (section 4).

  4. Plan one more. Switch to By date and click the sun ☀ in the row of “Draft the newsletter”. Back in My Day it sits under Anytime.

  5. Open it. Click its title. In the details panel add two subtasks: “Collect three topics” and “Write the intro” (section 6).

  6. Start. Click the target symbol in its row. The timer starts, and “Collect three topics” shows as Now. Tick it off when it is done (section 9).

  7. Find it again. Press ⌘K (iPhone: the magnifier in Projects), type news and press Enter (section 10).

When you are done, tick the tasks off or delete the project. Deleted things wait 30 days in the trash (section 8).

1 · The three things to know first

If you read nothing else, read this.

  1. Q opens quick entry. Press the Q key anywhere (or click "+ New task") and type the whole task in one line: title, date, time, priority, project. Kendoshi sorts it out.

  2. My Day is your start page. It shows only today: the tasks you planned and the tasks that are due. Everything else stays out of sight.

  3. The sun ☀ pulls a task into today. Every task row has a small sun on the left. One click plans the task for today, a second click takes it out again.

2 · Where you use Kendoshi

Kendoshi is one product on several devices. The Mac, iPhone and iPad app comes from the App Store. The web app runs in a browser on a Kendoshi Team server and can be installed on your phone like an app (see section 16). All devices work on the same data when you use the same account.

Solo or Team, chosen on first launch

When you open the Mac, iPhone or iPad app for the first time, Kendoshi asks you one question: Solo or Team.

Language

Kendoshi speaks English and German, in the Mac, iPhone and iPad app, in the web app and in Kendoshi Desktop. Switch in Settings → Appearance → Language: System, Deutsch or English. System follows the language of your device or browser. The choice is stored per device, so everyone in a team picks their own. The web app also has a small DE · EN switch on the sign-in page. Names Kendoshi creates for you, like the Done group, are shown in your language. Quick entry understands English and German words at the same time, whatever language you chose (see section 3).

3 · Quick entry

Quick entry is the heart of Kendoshi. Press Q or click "+ New task", then type everything in one line and press Enter.

Sets the due date. A day of the week means the next one coming. Month names count only with a day number: aug 14, 14 aug, august 14th, 14. dez. Without a year Kendoshi takes this year, or next year if the date has already passed. 8/14 means August 14 only when the app is set to English. The ISO form 2026-08-14 works in both languages. An impossible date such as 31.2. stays in the title.

2pm · 14:30 · 14uhr

Sets a time. A task with a time gets a reminder.

Makes the task recurring (section 7).

p1 … p4

Priority. p1 tints the whole row slightly red.

@name

Assigns the task to a person.

#project

Puts the task in that project. Without # the task lands in your Inbox. The first letters are enough: #client finds “Client work”. Names with spaces work too, such as #client work or @anna lee: Kendoshi takes the longest name that fits. The suggestion list below the line stays open while a longer name still fits, and picking a suggestion writes the full name.

/group

Puts the task in that group inside the project.

A new task is always assigned to you first, whether it comes from quick entry, the board, a dropped mail or Claude.

How dates and recurrence play together

If you write a recurrence without a date, the task starts today, or on the next named weekday. every monday 8:00 creates the first instance on the coming Monday. Weekday and day of the month follow the due date: monthly 1.10. repeats on the 1st of every month.

The German words work too: morgen, fr, nächste woche, 14. dez, 14uhr, täglich, jeden montag, jede woche, alle 2 wochen, monatlich.

4 · My Day

My Work lists everything you will ever have to do, and that can be paralysing. My Day shows only today, as a timeline of cards. It is the default view when you open My Work.

What is in it

Only two kinds of task: the ones you marked with the sun ☀, and the ones due today. Nothing else.

The header reads, for example, "Monday, 14 September · 4 tasks planned · 1 done". From six planned tasks the counter turns orange. More than five is rarely finished in a day, but you can still add more.

On the left is a quiet time column (on the phone it becomes a line above the cards), on the right are the tasks as cards with a coloured edge in the project colour. A red "now" line shows where you are in the day. Empty blocks show a pale "free".

A card

Each card has: ☀ (take out of today) · a target symbol (start focus, section 9) · the title (click opens the details panel) · a priority or status chip · the time · the project. Urgent tasks have a red edge, done tasks are struck through.

Suggestions

On the right, Kendoshi lists what is overdue or urgent but not yet in today. Drag a card into a block, or click its ☀, to bring it in. The arrow collapses the suggestions into a narrow strip with a counter; a click opens it again. Kendoshi remembers this per device.

Left over from yesterday

Tasks you planned yesterday but did not finish appear as one line at the top. One click takes them all into today.

The sun everywhere

The sun ☀ sits at the left of every task row in My Work, Inbox and boards. On the iPhone it also sits directly on the suggestions in My Day. One click plans the task for today, a second click takes it out.

5 · The areas

Inbox

Your private inbox. Nobody else sees it, not even an admin. Everything you create without a #project lands here. Use the move menu to send a task into a team project or a private project.

The Inbox cleans itself: a ticked Inbox task disappears for good after 30 seconds. That half minute is your time to undo.

My Work

Everything assigned to you, plus your Inbox and your private projects. Four views: My Day · By date (Overdue, Today, This week, …) · By project · By priority.

Lists are sorted by priority, then by due date. Due dates are shown relative to today ("5 days ago", "Tomorrow"). From eight entries a group shows five and a "Show N more" link. Click a group header to collapse or expand it; on the right, "Expand all" and "Collapse all" do it for every group at once.

Personal projects

Under "Personal" in the sidebar are your own private projects. They are invisible to everyone else, admins included. Create one with +, sort them by dragging. A project can be moved between team and private through its menu.

Folders

Projects can sit in folders in the sidebar. The button next to "New folder" in the Projects header collapses or expands all folders at once: in the Mac, iPhone and iPad app, and since web 2.14 also in the web app and in Kendoshi Desktop, for every member of a team. In the Mac app it appears when you hover over the header.

Boards

Every project is a board with four tabs: Groups · By date · Calendar · Overview.

In Groups, collapse a group with its chevron or all at once, change the order by dragging, and pull the column edges to resize them. The group view keeps the order you dragged. Subtasks open anywhere with the ✓ badge.

By date works like the groups view: click the title to open the details panel, double-click to rename in the row, the open task is highlighted. The sections (Overdue, Today, This week, …) collapse one by one, or all together with "Expand all" / "Collapse all" at the top right. Sorting is by priority. Column widths are remembered per project, separately from the groups view.

Overview is a free notes page for the project, with the full editor. It saves automatically.

Calendar

The calendar has four views: Today · Week · Month · Timeline. The timeline is a Gantt view and needs a start date and a due date on the task.

Today and Week are built in the same blocks as My Day: All day (no time) · Morning · Late morning · Midday · Afternoon · Evening. A task with a time sits in its block with the time in bold above the title. The current block is highlighted.

Dragging sets the time here. Drop a task into "Late morning" and it gets 10:00, "Afternoon" gives 14:00, "Evening" 17:00. If the task already has a time that fits the block, it keeps that time. Drop it into "All day" and the time is removed.

Month shows two entries per day and "+N more". The "+" on a day creates a task in the Inbox with that date. Done tasks do not appear in the calendar.

On the right is a "No date" bar with cards for tasks without a due date. Drag a card onto a day to set the date. The arrow collapses the bar; dropping a task onto the collapsed bar still removes its date.

Person filter: the default is "only me". Even admins see only their own tasks at first. Tick more people in the filter, or choose "Show all" or "Only my tasks" at the bottom of the menu. The choice is remembered per device.

Multi-day tasks: if a task has a start date before its due date, Month shows it as one continuous bar across all its days, also across the week break, with the title at the start and again on each Monday. Dragging the bar moves the whole span: pick it up on the 22nd and drop it on the 25th, and both start and due date move by three days. In Today and Week such a task appears in the All day block on every day of its span.

On large screens the calendar fills the window, and the timeline uses the full width.

Team wiki (web app only)

The book symbol at the bottom of the sidebar opens the team wiki: folders, drag sorting, the full editor. Everyone can read, only admins can write. The wiki exists only in the web app on a team server. There is no wiki in Solo mode.

6 · The task details panel

Click a task title and the panel opens on the right. Clicking status, priority, person or date in a row changes only that value without opening the panel. The panel follows your selection: click the next title, or use the ↑ and ↓ keys. Close it with X, Esc, or a click on an empty area. Double-click a title to rename it in the row.

Where the task lives

Above the title stands the path Folder › Project › Group. Click the project part to move the task to another project or to the Inbox. Click the group part to change the group inside the project. Long names are shortened; the full name is in the tooltip.

What is in the panel

Links to a task

You can link to a task from anywhere, for example from a note or a mail.

The id is the task id from the address bar or from Claude. In the web app a link to a subtask opens its main task; the Mac, iPhone and iPad app opens the subtask itself. Older links that begin with boardist:// still work as well.

Copy a task

Right-click a task (iPhone: touch and hold). "Copy task to…" creates a copy in another project, with notes, priority, due date and subtasks, all open again, without comments. "Copy task link" puts a link on the clipboard that opens the task; Claude can use it through the Kendoshi connector. Duplicating a group or a project keeps subtasks as subtasks.

7 · Recurring tasks

Open the due menu of a task and choose "Repeat": daily · weekly (you can tick several weekdays) · every 2 weeks · monthly. Or type it straight into quick entry: every monday, every 2 weeks, monthly.

When you tick a recurring task off, Kendoshi creates the next instance with a fresh subtask checklist. A blue ↻ marks recurring tasks.

8 · Done group and trash

Done

A ticked project task moves after 30 seconds into the "Done" group at the very bottom of the board. The group is collapsed and works as a log, also when you tick the task in My Work. Reopening a task sends it back to its original group.

The exception is the Inbox: a ticked Inbox task disappears for good after 30 seconds.

Trash: 30 days

Deleting is never immediate. When you delete a task, a group, a project or a folder (also through the group menu → "Delete all done"), it goes to the archive for 30 days. During that time you can restore everything: one row, a group, a project or a folder. After 30 days it is gone. Deleting something from the trash by hand always asks you first.

To see the trash, go to Settings → Appearance and switch on "Archive". The trash then appears in the sidebar. It also sits at the foot of the project list. The Mac, iPhone and iPad app has the same trash with the same rules.

9 · Focus tools

These tools exist for days when starting is the hard part.

An LCD timer at the top of My Work. Pick a duration; a sound and a notice tell you when it ends.

Focus mode

The target symbol starts a focus from anywhere: in a task row (also in Groups), in the head of the details panel and in the right-click menu. Kendoshi closes the panel and jumps to the focus workspace in My Work.

Under the focused task: the first open step, large, as "Now" with a tick box; then its subtasks, a notes field that grows with the text, and the AI actions (section 11). Without a step it says "Write down the first small step".

Focus pill

While a focus runs and you are somewhere else, a small pill shows the time left, in the sidebar (on the iPhone at the top). A click takes you back. On the Mac the time left also shows in the menu bar. A paused focus pulses gently, unless Reduce Motion is on.

While it runs

Add or remove 5 minutes, or pause. A pause freezes the time left and the notification, and a restart keeps the state.

When time is up

Kendoshi asks: Done, +5 min or 5 min break. On Mac, iPhone and iPad these three choices are also buttons in the notification. In the browser and in Kendoshi Desktop the choice waits until you come back to the app. After the break Kendoshi asks whether to continue with your task. An unanswered end expires after 12 hours.

10 · Search

Press ⌘K on the Mac, on the iPad with a keyboard, in the web app and in Kendoshi Desktop. On the iPhone, tap the magnifier in Projects.

Search looks in titles, notes, subtasks and project names. Capitals, accents and umlauts do not matter: "muller" and "mueller" both find "Müller", and "ss" finds "ß".

Results are grouped into tasks, subtasks (with their main task) and projects. Each row shows the project and the status, with the match highlighted. Enter opens the result, ⌘Enter starts a focus on it. Done and archived tasks are hidden; the "Done & archive" box at the top of the search brings them in.

Spotlight (Mac, iPhone and iPad app)

Open tasks can also appear in the system search with their title, project and the start of the notes. A click opens the task in Kendoshi. Done and archived tasks are removed from Spotlight. Switch it on or off in Settings → Spotlight → "Show in Spotlight". It is on by default in Solo mode and off in Team mode.

11 · The AI button

Every task has a robot head: in the head of the details panel next to the focus button, in the right-click menu ("AI…") and in the focus workspace. It helps with three things.

Kendoshi writes a ready-made prompt with the task, its project, its subtasks and shortened notes. "Open in Claude" opens it in Claude, "Open in Cowork" opens it in Claude's Cowork (Mac and Kendoshi Desktop), "Copy" works for any other AI, and on the iPhone "Share" opens the share menu. You send the prompt yourself. With the Kendoshi connector connected (section 15), Claude writes the result back.

With your own API key: a suggestion inside Kendoshi

In the Mac, iPhone and iPad app, open Settings → AI. Enter the provider address (https only, OpenRouter by default), your key and a model. Kendoshi loads the provider's model list, models with JSON schema first. "Test connection" checks the setup. The key stays only in this device's keychain: not in iCloud, not in Kendoshi backups, never on another device.

Before anything goes to a provider for the first time, Kendoshi asks for your consent; you can withdraw it in the AI card. Then "Get suggestion" shows a preview: steps with tick boxes, a title suggestion, a note draft. Nothing changes until you click Apply (for steps: “Add 5 subtasks”). "Try again" asks once more, "Discard" closes the preview. Only the task you ask about is sent: title, project, status, priority, due date, subtasks, up to 4,000 characters of notes and your instruction.

In the web app on a team server, an admin sets the key for the team in Settings. Kendoshi Desktop can also use Claude Code or Codex with your own subscription in "Work alone" mode; you set this up with the AI bridge in the File menu.

Kendoshi has no AI of its own and does not receive what you send. The provider processes it under its own terms.

12 · Mail to task by drag and drop

You can turn a mail into a task by dragging it out of Apple Mail. No setup, no token. This works only on a Mac, in the web app in a browser (Chrome or Safari), with Apple Mail. It does not work on the iPhone and not in the Mac app. The mail stays in Mail; Kendoshi gets the subject and a link back to the message.

A confirmation appears at the bottom with "Open", which takes you to the details panel.

What the task gets

The title is the subject. A link "Open mail in Apple Mail" brings the message back with all attachments in one click. The task is assigned to you. Notes stay empty, because the browser does not receive the mail text. If you need the content, ask your connected Claude: "Fetch the content of the mail into task X" (this needs the Apple Mail connection in Claude).

Duplicates: drag the same mail twice and Kendoshi says "Already exists as a task" with a jump to the existing one. This works only for your own tasks and only when the mail carried a link.

Limits: no sender, no date, no text excerpt, only subject and link. Outlook and webmail are not tested. When you are away from the Mac, use Claude instead (section 15).

13 · External calendars in Kendoshi

You can show other calendars inside Kendoshi's calendar, for example flights, holidays or a shared family calendar.

Add the link

Settings → External calendars → "Add calendar link". Paste an ICS link (webcal:// works too), give it a name and a colour. Kendoshi checks the feed at once and refreshes it every 10 minutes after that.

Adjust each feed

Per feed: the eye shows or hides it, "all day only" hides entries with a time (useful for flights and hotels), the bin removes it. Feeds are visible only to you and read-only; the link stays on the server.

How they look

Entries appear as dashed chips in the feed colour. In Today and Week they sit in their block with the time, all-day entries at the top, multi-day entries with "…" on the following days. Click one to see period, location and description, and "Open" at the provider. They cannot be dragged, do not appear in the timeline and not in a project's calendar tab. If a feed fails, a yellow notice appears under the calendar.

The other direction, your Kendoshi tasks inside Apple Calendar or Google Calendar, is the next section.

14 · Calendar subscription and sync

Web app: subscribe to a feed

Settings → Calendar sync (collapsed, click to open the list) → copy a feed URL, either your personal feed or one per project. In Apple Calendar: File → New Calendar Subscription. In Google Calendar: "From URL". Tasks with a time remind you 30 minutes before. The feed URL is personal, do not pass it on.

Mac, iPhone and iPad app in Team mode

Settings → Calendar sync shows your personal ICS links per project. "Copy link" is for Google ("From URL" there), "Subscribe" opens the link straight in Apple Calendar. "All my tasks" is the first feed above the project list, which is why the card header counts one feed more than you have projects.

Mac, iPhone and iPad app in Solo mode

Settings → "Write tasks to Apple Calendar" creates one iCloud calendar per project, named "Kendoshi · Project name", and enters your tasks there. This is one-way: changes you make in Apple Calendar do not come back. Switching it off removes those calendars again.

15 · Connect Claude (MCP)

Connecting Claude means: your own Claude gets access to your tasks and can read and write them. You connect the Claude you already use. For help with a single task there is also the AI button (section 11).

Solo mode: the server lives in the Mac app

When you work alone, your data is on your Mac and there is no server for Claude to call. So the Mac app brings its own small server.

Switch the server on

In Kendoshi for Mac, open Settings and expand "API token (MCP & agents)". Switch on "MCP server on this Mac". The token is created automatically and stored in the macOS keychain. It is shown hidden; the eye symbol next to it reveals it.

Give Claude Code the line

Under "Claude Code in the terminal" click Copy. Open Terminal, paste the line and press Enter.

The list now shows kendoshi.

Team mode in short

Settings → API token → "Create token" → "Copy link". The link looks like https://<your team server>/api/mcp?token=kdo_... and contains the token, so treat it like a password. The token is shown only once; copy it straight away. Later you cannot read it again, only create a new one, which makes the old one invalid. In claude.ai or Claude Desktop: Settings → Connectors → "Add custom connector" → paste the link.

Since web 2.14 a team server always answers Claude in English, whatever language you chose in the app. Claude still talks to you in your language.

What Claude can do then

Claude reads and writes in Kendoshi with exactly your rights, and can never delete anything. Typical requests:

Safety

Token lost or leaked: Settings → API token → Revoke cuts the connection at once.

16 · Appearance and mobile

Settings, in order

Workspace → My profile → Appearance → Team → API token → External calendars → Calendar sync. API token is collapsed and shows its state in the header ("set" or "no token").

Themes and colours

Settings → Appearance: Dark (default), Light or Paper, chosen per device. "Custom colours" lets you pick three base colours; Kendoshi derives the rest. The "Archive" switch for the trash in the sidebar sits here too.

The date groups (Overdue, Today, This week, Next week, Later, No date) in My Work and in a board's By date view, and the Personal area in the sidebar, can get their own colour: "…" on the header (it appears when you hover, on touch devices it is always there) or right-click (long press on touch) → Change color…. Restore default brings the standard colour back. The colours are saved per device. Done, project and priority groups keep their fixed colours.

Density

Comfort (default: larger rows, chips, group titles and calendar chips in Today and Week) or Compact (more at a glance), per device. Month and Timeline are always compact.

Web app on the phone

Open the page in the browser and choose "Add to Home Screen". The web app then behaves like an app (PWA). The bottom tabs are Inbox, My Work, +, Calendar and Projects. My Day shows the time of day above the cards; the calendar stacks the blocks as rows across the seven days, chips show time and title, no avatars. On iPhone and iPad, the Kendoshi app from the App Store is the alternative.

The version is shown at the top left of the sidebar. After an update, reload the installed web app once. If the icon on your phone still looks old, add the web app to the Home Screen again.

On the iPad the sidebar collapses, and the sections of the project list can be folded. The iPhone has its own phone layout, with the sun ☀ directly on the suggestions in My Day.

17 · Password and security

This section applies to accounts on a team server. Solo mode has no account.

Change your password

Settings → Account and security. You need your current password; the new one has at least eight characters. Afterwards you are signed out on all other devices; this one stays signed in.

Sign out everywhere

Same place, its own button. Meant for the case that you were signed in on a borrowed or lost device. Your API token for Claude stays valid; revoke it separately under API token.

Forgotten password

Kendoshi sends no emails. An admin sets a new password for you under Settings → Team → ⋯ → "Reset password" and hands it to you personally. Change it yourself right after.

Regenerate feed links

Settings → Calendar sync → "Regenerate feed links". Do this when you have passed a link on, because anyone with the link sees your tasks. All existing subscriptions stop updating and must be subscribed again with the new link.

18 · If you are in a team

A team lives on a Kendoshi Team server. An admin invites you with a link that is valid for 14 days and can be used once; you register with it yourself. After that the admin has to grant you access to folders and projects. Until then you see only your Inbox and your private projects.

There are two roles. Admins manage the team, access and settings, and write in the wiki. Members work in the projects they have been given. Your private projects and your Inbox stay invisible to admins. If your team uses agents or automations, they get their own member account and their own token, never an admin account.

The team wiki is in the web app: everyone reads, admins write. Each person subscribes to their own calendar feed; links are never shared.
