- AI text actions
- Rephrase, shorten, expand, spelling and grammar, summarise, and instructions of your own up to 300 characters. Uses Claude Code or Codex with your own plan; only the selected text goes to your AI program. Every change appears as a draft and is only applied when you click. Needs a licence after the trial. Mac only.
- AI window
- A floating window for the AI text actions, opened with the symbol in the toolbar, with ⌘⇧K or with a right-click. Movable, stays open, remembers its position and takes whatever is selected each time you click. Mac only.
- Attachment sorting
- New attachments are stored by file type, for example PNG, JPG and PDF. Older layouts remain readable; a separate clean-up action can organise untyped attachments.
- Attachments
- Add images, PDFs and other files to a note. Attachments stored in the vault remain individual files and can be used in more than one note.
- Autosave
- Save note changes automatically and see their status in the toolbar. Conflict protection checks for files changed elsewhere at the same time.
- Backlinks
- See which other notes link to the current note in the references inspector, with their location and a short piece of context.
- Backup as HTML ZIP
- Back up the entire vault, including its notes, stored attachments and configuration, as a ZIP file. Back up external originals separately. You start the backup deliberately.
- Badges
- Add small status labels within your text: neutral, information, success, warning or danger.
- Browser capture
- Send web pages, selected text and images to the INBOX with separately configured Safari or Chrome extensions. Browser capture is optional and is not installed automatically.
- Captions
- Use quiet captions to add a source, date or context to a note without making it a large heading.
- Centring
- Centre headings (H1 to H3), paragraphs and single images with the button next to the headings, ⌘⇧E or a right-click. Lists, tables and code blocks stay left-aligned. The HTML file and PDFs keep the centring.
- Checklists
- Use tickable lists inside a note, for example for packing or a process. This is not a separate task manager or calendar integration.
- Code blocks
- Display commands and source code separately from prose, with syntax highlighting. Colour Lab lets you adjust the code background and base text colour separately.
- Colour Lab
- Adjust background, app text, navigation tree text and interface accent colours with a live preview. Contrast guidance helps with readability. Your personal palette applies on this Mac.
- Conflict protection
- Changes from the app, MCP and external file services are not blindly overwritten. Saving checks the file's state and treats competing changes as a conflict.
- Context menus
- Right-click text, images, knowledge blocks or tables for relevant actions: formatting, colours, AI actions on selected text, placing text beside an image, Show in Finder, removing a block or editing a table.
- Copy and move
- Copy or move individual notes or a multiple selection into another folder or life area.
- Dark Mode
- Work in a dark interface or choose Follow Mac to use the system setting. Paper and Dark Paper are additional options.
- Dashboard
- My Day, pinned folders and pinned notes at the top, below them “Recently active” and “To file” with ten entries each, and the badges with note counts at the bottom. The card view shows notes with content previews instead. Click a folder while the dashboard is open to see its own overview.
- Data cards
- Collect related details in a highlighted block with a table, such as key facts, decisions or a daily reflection.
- Deep links
- Copy a ZimeZumi link to a note and return to it from another app. You can also link directly to a marked PDF region.
- Desktop notes
- Put a note on the desktop as its own small window, via the monitor symbol next to the lock. It stays there as long as ZimeZumi runs in the background, as a normal window or pinned in front. Full editor, changes appear in the main window at once. Several at a time, positions are kept. Mac only.
- Dictation
- Start macOS system dictation at the current writing position. Availability, permissions and data processing depend on your macOS configuration.
- Document import
- Select a file or folder and supported types are recognised. These include TXT, CSV, JSON, XML, source code, RTF, DOC, DOCX, ODT and PDF. Source files are only read.
- Drag and drop
- Move notes into folders or life areas, add images and files, and drag notes into other notes as internal link cards.
- Duplicate attachment detection
- Reuse identical file contents already in the vault. When the same filename has different contents, choose whether to reuse it, create a new name or cancel.
- Export a note
- Export PDF, MD or HTML from the toolbar. PDF is for reading, Markdown for further work, and portable HTML can bundle accessible attachments from a text note.
- Finder access for images
- Use a local image's context menu to show it in Finder, open it in macOS or convert it to a Finder link.
- Finder links
- Reference local files and folders as text links or cards and reveal them in Finder. Originals stay where they are; a link is not a copy.
- Folders
- Nest, rename and pin folders. Distinguish them with colours and a set of monochrome symbols.
- Headings
- Use H1 to H3 with distinct colours. Shift their hues together in Colour Lab. H1 and H2 create collapsible sections. All three can be centred.
- Horizontal rules
- Divide longer notes into readable sections with horizontal lines.
- HTML import
- Bring static HTML content and portable ZimeZumi notes into the vault. Safe content and accessible local attachments are imported; third-party scripts are not run. Drag HTML files straight into a note, or onto the sidebar to create a new note in the INBOX.
- HTML notes
- Keep notes as standalone, browser-readable HTML files in your own vault. Their layout and content are not tied to a proprietary note database.
- Image galleries
- Group images in a gallery with four, five or six columns. Drop more images directly onto the gallery to add them.
- Images
- Add images through a file picker, a Finder drop or the clipboard. Resize them and open a full-screen preview. Adding an image does not silently replace an existing image selection. Centre single images, or place them left or right with the text beside them. Thumbnails show the true proportions, including HEIC and rotated photos.
- INBOX
- Capture thoughts and photos, links and attachments sent through the share menu to ZimeZumi, then organise them later. The share menu is on iPhone and iPad; on the Mac, browser capture for Safari and Chrome does the job. Configure the incoming folder, collapse it and adjust its height.
- Internal note links
- Connect notes with text links or cards, customise the label and open the linked note directly.
- Keyboard shortcuts
- Use familiar shortcuts such as ⌘B and ⌘I for formatting, ⌘P for global search and ⌘F for in-note search, ⌘⇧E to centre and ⌘⇧K for the AI window. The slash menu adds quick insertion.
- Knowledge blocks
- Bring notes, information, important results and warnings forward in distinct blocks. Data cards and content blocks add other ways to organise them.
- Licence and trial
- Try everything for 14 days, without an account or online activation. After that the trial blocks creating new content and the AI text actions; everything you already have stays readable, editable, searchable and exportable. Your licence is a line of text that you paste into the settings.
- Life areas
- Create, name, colour, reorder and collapse your own areas for everyday life, knowledge, projects or other themes. A new vault starts with Knowledge, Projects and Archive, in German with Wissen, Projekte and Archiv.
- Link cards
- Display internal notes, local files and web links as cards with recognisable titles. Web previews may fetch external content, with separate privacy implications.
- Link maintenance
- ZimeZumi updates internal references when you rename or move items in the app. This does not reorganise external web addresses or Finder targets.
- Lists
- Structure thoughts with bulleted or numbered lists, without creating task objects.
- Markdown and Obsidian import
- Bring in existing Markdown notes and Obsidian vaults with folders, links and accessible attachments. Other apps' plugin features are not imported.
- Markdown block
- A .md file as a block in the note, linked to the original in the vault, a media library or another folder. Reading view or source, a notice when the file changes, update with one click, detach from the original. Long blocks fold. Insert by dropping, with /md or with the MD button.
- Markdown export
- Export one note or the entire vault as a portable Markdown copy. Full exports include folders, metadata, attachments and adjusted internal links. Layout and interactive PDF highlights are not fully preserved.
- Markdown quick view
- Double-click a .md file in a media library to read it on the right, as reading view or source, with no import and no new note.
- MCP connection
- Connect a compatible, separately configured AI client to the selected vault. Search, section by section if needed, read and edit through permitted tools. Cloud clients can send requested content to their providers. No AI model is built in.
- MCP connection check
- Check installation, vault access and the local MCP server connection in Settings. Get a client configuration matching the selected vault. Paths in your home folder show as ~, “Copy configuration” copies the full path.
- Media libraries
- Connect multiple local sources for images, PDFs and documents. Files stay in their original locations and are only referenced or displayed in notes. The source must remain accessible.
- Multiple selection
- Organise several notes together. Visibly select multiple images to move or remove them together, or combine them into a gallery.
- My Day
- The calendar icon opens today's daily note or creates it, automatically if you like. Choose the folder, date format and template in the settings; a custom template can be edited or taken from an existing note. A new vault starts with the date order of your Mac's region. Existing daily notes are never replaced.
- Navigation tree
- Choose the tree size in three steps: Small, Standard or Comfortable, under Settings › Appearance. The choice applies per Mac and leaves the vault unchanged. The tree's text colour has its own setting in Colour Lab.
- Note counts
- Optionally show note counts for life areas and folders. Enable them in Settings for a quiet extra point of orientation.
- Note markers
- Give notes a marker colour and filter search results by markers. Combine marker and tag filters.
- Offline use
- Work with locally available notes and files without the internet. External web content, cloud files and cloud AI may require a connection.
- Outline
- Use a longer note's headings as navigation and jump straight to the section you need. Collapse or expand all H2 sections at once.
- Paper modes
- Choose light Paper or warm Dark Paper. Both complement Dark Mode and your custom palette.
- PDF regions and highlights
- Mark a region, name it and reference it with a text link or card. The reference returns to that passage. Highlights are stored in the note; the original PDF stays unchanged.
- PDF viewing
- Read PDFs from the vault or media libraries inside a scrollable frame in your note, or open them in macOS. Pages render as needed.
- Pins
- Keep important notes and folders close. Pinned notes also remain visible in their normal location.
- Quotations
- Set quoted passages or a thought of your own apart from the surrounding text in a quote block.
- Reference view
- Open a second note read-only alongside your work to read or copy from it. Adjust the column width. Board sources also open in this reference view.
- Search
- Search the vault by title, content and tags, with tag and marker filters. Each hit shows its life area and folder. A separate in-note search helps within the open note.
- Section search for AI clients
- Through MCP a connected AI client finds matching sections instead of whole notes, with heading path and location. Archive folders stay out of it unless it explicitly asks. Mac only.
- Sections
- Collapse and expand H1 and H2 sections, copy a complete section, and move it up or down at the same heading level.
- Share to ZimeZumi
- Use the share menu in other apps on iPhone and iPad to send photos, links and other attachments to ZimeZumi. On the Mac, browser capture for Safari and Chrome takes web pages, text selections and images. Everything arrives in your INBOX. To share your own notes with others, export them on the Mac as PDF, HTML or Markdown. ZimeZumi does not offer collaborative note editing.
- Sidebar
- See the INBOX, pins and life areas in their own scrolling regions. Expand areas together or collapse them all, and use a note's path to return to its location. In a narrow sidebar the header uses two lines, so the logo and vault name stay complete.
- Slash menu
- Type a slash where you are writing to insert blocks, headings, lists, tables, links, images, galleries and attachments.
- Sorting
- Order notes alphabetically or by time, and arrange life areas to fit your everyday use.
- Step headings
- Give headings a visible step number so instructions, lines of thought and processes are clear at a glance.
- Switch arrow
- Jump back and forth between the two most recently opened notes with the switch arrow. Reading position and text selection are kept.
- Tables
- Edit tables directly, add or remove rows and columns, use header rows and merge cells. Insert a new paragraph after a table. Hide borders and cell backgrounds per note without changing the layout. Columns follow their content, so short tables stay narrow.
- Tags
- Give notes several keywords and find them through combined filters. Tags complement folders without requiring extra object models.
- Text beside images
- Place a single image on the left or right and the text flows beside it. The image starts at 40 per cent of the width and goes up to 60 per cent. In a narrow window it takes the full width.
- Text colours and highlights
- Colour or highlight passages using the toolbar or the context menu for selected text.
- Text formatting
- Use bold, italic, strikethrough, inline code, lists and quotations in a visual editor. You do not need to write Markdown source.
- Undo and redo
- Undo or redo editor changes with familiar editing actions and keyboard shortcuts.
- Vault across devices
- Use the same HTML vault on Mac, iPhone and iPad, for example through a file service you choose. Sync comes from that service, not a ZimeZumi cloud. This is not collaborative real-time editing. A vault set up in English with 4.7.2 needs ZimeZumi 4.7.2 on every Mac that opens it.
- Vault Guard
- Check missing references, older layouts and potentially unused attachments. Review the results before starting a clean-up.
- Vault selection
- Choose or create your own folder as a vault. A new vault comes with the ZimeZumi User Handbook in the INBOX. A missing vault is not silently recreated. Local use needs no ZimeZumi account.
- Whiteboard
- Arrange note sources, text and shapes spatially. Drag notes, images, PDFs and files onto the board as source cards, from the Finder or the sidebar. Use pen, eraser, pan and fit controls. Keep the board as an HTML file in your vault. Read-only on iPhone; on iPad, supported boards can be edited with Apple Pencil.
- Whiteboard shapes and connections
- Use rectangles, triangles, circles and ellipses. Adjust lines and arrows with colours, different widths, and solid, dashed or dotted styles.
- Whiteboard text
- Style text on a board, change its colour and size, and underline it when useful. This feature refers to the board editor.
- Write protection
- Protect a note against editing and deletion in ZimeZumi. A closed blue padlock shows the state. This is not file encryption.
- Zoom for notes
- Adjust the note view from 60% to 140% in 10-point steps and return to 100% with one click. The zoom changes your view, not the note's content.
